Reference Desk Reminders



These are a few reference desk reminders:
  • Please do not shutdown staff and public computers at the reference desk. IT needs to be able to do updates. The computers have been programmed to go into sleep mode.
  • The shades should not be adjusted.  The shades are easy to get stuck or break and it is very costly for a repairman to be called to fix them.
  • We do not have private study rooms and staff members cannot give customers permission to use the room next to the elevator (nor conference rooms) for private study.
  • At 15 minutes to the closing time, staff (and security) should walk around and remind customers that we are closing

I am trying to post the Daily Schedules up to 3 weeks in advance. Please consult them and the Master Calendar before you schedule meetings, outreach events, oral history interviews, and donor meetings.

Friendly Reminder



All,


There appears to be a growing problem with customers calling to inquire about tours and meeting room reservations and somehow getting the impression they can reserve via phone. Please note the following updates or changes:

1. Please direct all inquiries to the Gregory email address. We only take requests via email.  Calls should not be forwarded to a particular person... the request should be submitted via email. This provides a written record and stops disputes.

2. Booking a meeting room does not include use of the lobby for refreshments. Moving forward, only library sponsored receptions, refreshments, etc, are held in the lobby during business hours. I will refer groups wanting to use the lobby/facility to MyTesha Tates for rental after-hour use.

3. For meeting, rooms will be pre-set with the proper number of chairs (including a few extras) for each meeting . Do not offer additional chairs or allow visitors to move furnishings. We do have to abide by room capacity for the sake of safety.


4. All groups using the meeting room, will have to sign an application on the day of their meeting, prior to using the room. Natasha will prepare the applications and have it available at the welcome desk.

5. Calls with reference questions should be transferred to the Reference Desk

Oral History Recording


When the oral history lab is in use please make sure the noise level in the hallway is at a minimum. If the conference room is in use please ask patrons to keep the door closed. We need make sure to close and open doors, staff area and archives, quietly.
